When you use our website we may collect technical information such as your IP address, browser type, device information, pages visited and cookie preferences.

3. How we use your information

  • Responding to enquiries: answering questions, providing vehicle information and quotations.
  • Processing applications: reviewing your application and documents, checking eligibility and affordability, and taking steps towards a subscription agreement.
  • Providing subscriptions: administering agreements, arranging delivery or collection, managing payments and supporting you during and after a subscription.
  • Arranging insurance: where insurance is part of your subscription, or you ask us to quote for it, sharing relevant information with insurers or brokers to assess eligibility and arrange cover.
  • Servicing, maintenance and road tax: coordinating servicing, repairs and vehicle administration.
  • Fraud prevention and security: protecting customers, our business and our partners.
  • Legal and regulatory compliance: meeting legal, accounting, tax and record-keeping obligations.
  • Marketing: where the law allows and you have agreed, telling you about vehicles and offers. You can opt out at any time.

4. Our legal bases

Contract and steps before a contract: to deal with an application you ask us to consider, prepare an agreement or provide a service under it.

Legal obligation: where we must process information to comply with the law.

Legitimate interests: for example responding to enquiries, keeping records, preventing fraud, improving our services and protecting our systems. We consider the impact on you before relying on legitimate interests.

Consent: for example marketing emails or non-essential cookies. You can withdraw consent at any time; this doesn't affect processing before you withdrew it.

Where information about criminal convictions, driving offences or health is needed, we will identify and record the additional legal condition that allows it before collecting it.

5. Application, affordability and eligibility checks

When you apply, we check your identity, driving eligibility, insurance eligibility and whether the subscription is affordable for you. Our team reviews the income and housing-cost information you give us, your bank statements and your proof of address.

We do not search your credit file with a credit reference agency. If that changes, we will tell you before any search is made.

Every application is reviewed by a member of our team.

6. Sharing your information

We do not sell your personal information. Where necessary and lawful, we may share it with:

  • Vehicle suppliers, delivery and collection providers
  • Insurance brokers, insurers and insurance administrators
  • Servicing, repair and maintenance providers
  • Payment processors and banks
  • Identity verification and fraud prevention providers
  • Our technology providers: Vercel (website hosting), Supabase (secure database and document storage, in London) and Resend (sending emails)
  • Professional advisers, such as accountants and lawyers
  • Regulators, law enforcement and public authorities where required or permitted by law

We only share what is reasonably necessary. Providers acting for us must protect your information under contract. Some organisations, such as insurers and payment providers, act as independent controllers and have their own privacy notices.

7. Insurance information

Where insurance is included in a subscription, or you ask us to quote for it, insurers may need information about drivers, licence history, vehicle use and other relevant circumstances. Some of this may be sensitive, and we only process it where a valid legal basis and any additional legal condition apply. Insurers may also process it under their own privacy notices.

8. Payment information

We process payment information to collect joining fees, monthly payments and other amounts due under an agreement. Payments may be handled by an authorised payment service provider. We don't take payments on this website.

9. How long we keep information

  • Enquiries: 12 months after our last contact with you, unless you go on to apply.
  • Declined or withdrawn applications, including documents: 6 months after the decision.
  • Bank statements and proof of address: 6 months after the decision on your application, whatever the outcome.
  • Approved applications, driving licence copies, agreements and payment records: for the length of your subscription and 6 years after it ends, to meet legal, accounting and dispute-resolution requirements.
  • Marketing preferences: until you opt out, then a record of the opt-out so we respect it.

When information is no longer needed, we securely delete or anonymise it.

10. How we protect your information

We use appropriate technical and organisational measures, including encrypted connections, private document storage that is not publicly accessible, staff sign-in, restricted access to customer records, and logs of who opens application documents. No internet system can be completely secure, but we work to manage and reduce the risks.

11. International transfers

Our database and document storage are hosted in London. Some of our technology providers (for website hosting and email delivery) are based in, or may give their support staff access from, the United States or the European Economic Area. Where personal information is transferred outside the UK, we make sure the transfer is lawful, using UK adequacy regulations (including the UK-US data bridge where the provider is certified) or the UK International Data Transfer Agreement or Addendum. Contact us for more information about these safeguards.

12. Your rights

Depending on the circumstances, you have the right to access your information, have it corrected, have it deleted, restrict or object to certain processing, receive it in a portable format, withdraw consent, and rights relating to automated decisions.

You can object at any time to processing for direct marketing, and to processing based on legitimate interests in certain circumstances.

To exercise your rights, email info@innovationdrive.co.uk. We may need to confirm your identity, and we will respond within the time limits set by law.

13. Automated decision-making

We do not make decisions about applications solely by automated means. Every application is reviewed and decided by a member of our team.

14. Marketing

Where consent is required, we will ask for it before sending marketing. You can opt out at any time using the unsubscribe link or by contacting us. Opting out does not stop essential messages about an enquiry, application or subscription.

15. Cookies

Our website uses only the cookies needed for it to work and stay secure, such as remembering your cookie choices and keeping staff signed in. If we add non-essential cookies, we will ask for your consent first. See our cookie notice.

16. Information about other drivers

If you give us information about another proposed driver, please make sure it is accurate and that they know you are providing it. We will give them privacy information as the law requires.

17. Information you must provide

Some information, including the three documents on the application form, is needed for us to assess an application, arrange insurance or provide a subscription. If it isn't provided, we may not be able to consider your application. Optional fields are marked.

18. Other websites

Our website may link to other websites. We are not responsible for their privacy practices, so please read their privacy notices.

19. Complaints

If you are unhappy with how we handle your information, please contact us first so we can look into it. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, telephone 0303 123 1113. You don't have to contact us first.

20. Changes to this notice

We may update this notice to reflect changes to our services or the law. The latest version will be on this page with its date. Where required, we will tell you about important changes.
